PitecHR (“we,” “our,” or “us”) is a Human Resource Management System (HRMS) provided to organizations on a Software-as-a-Service (SaaS) basis. This Privacy Policy describes how we process data strictly on behalf of subscribing companies (“Clients”).
By using PitecHR, the subscribing organization accepts this Policy. Employees and end-users should refer to their employer’s own policies regarding data management.
1. Role of PitecHR
- Employer as Data Controller: Subscribing companies (employers) determine what information is entered into the system and how it is used.
- PitecHR as Data Processor: We provide the platform and process data under the employer’s instructions. We do not access, view, or use employee data for our own purposes.
2. Responsibility for Data
- Employers are solely responsible for the accuracy, privacy, and safeguarding of employee information stored in PitecHR.
- PitecHR ensures the platform is secure and available, but the employer decides what data is collected, who has access, and how it is managed.
- End-users should direct all data-related concerns to their employer.
3. Information Processed
Information stored in PitecHR may include employee records, HR documents, and technical usage data. These details are entirely controlled by the employer. PitecHR does not collect information independently.
4. How We Use Information
- Operate and maintain the HRMS platform.
- Provide secure access and technical support.
- Ensure service reliability and compliance with legal obligations.
We never use client data for advertising, profiling, or resale.
5. Data Sharing
PitecHR does not sell, rent, or share information with any third party, except:
- With authorized employer administrators who manage employee accounts.
- When required by law or legal process with proper prior notification to the employer.
Outside of these cases, data remains strictly private to the subscribing employer.
6. Data Retention
We retain client data only for the duration of the subscription or as legally required. At contract termination, data is returned to the client or permanently deleted as per agreement.
7. Data Security
We use encryption, access controls, and monitoring to protect data. However, ultimate responsibility for safeguarding employee records and ensuring authorized use rests with the subscribing employer.
8. International Data Transfers
Where data is transferred across borders, we comply with applicable frameworks (e.g., GDPR, SCCs, or equivalent mechanisms).
9. End-User Rights
Employees/User who wish to access, correct, or delete their personal information must contact their employer. The organization has the sole access to their data whereas PitecHR has nothing to do with the data.
10. Children’s Privacy
PitecHR is designed only for adults in employment contexts and is not intended for individuals under 18.
11. Changes to this Policy
We may update this Privacy Policy periodically. Employers will be notified of any significant changes.
