Privacy Policy for PitecHR

PitecHR (“we,” “our,” or “us”) is a Human Resource Management System (HRMS) provided to organizations on a Software-as-a-Service (SaaS) basis. This Privacy Policy describes how we process data strictly on behalf of subscribing companies (“Clients”).
By using PitecHR, the subscribing organization accepts this Policy. Employees and end-users should refer to their employer’s internal policies regarding data handling and privacy practices.
1. Role of PitecHR
- Employer as Data Controller: Subscribing companies determine what information is entered and how it is used.
- PitecHR as Data Processor: We process data strictly under employer instructions.
PitecHR does not independently use, analyze, or exploit employee data.
2. Responsibility for Data
- Employers are responsible for accuracy, legality, and safeguarding of employee data.
- PitecHR ensures platform security, but employers control access and usage.
- End-users should contact their employer for privacy requests.
3. Information Processed
Information may include:
- Employee records and organizational data
- HR documents and employment-related information
- System and technical usage data
All data is controlled by the employer. PitecHR does not independently collect user data.
4. Location Data
PitecHR may process location data only during attendance actions such as check-in/check-out.
- Used to verify authorized work locations
- Accessed only during attendance with user consent
- No background tracking when the app is not in use
- Not used for tracking, profiling, or marketing
Location data is securely processed and visible only to the employer.
5. How We Use Information
- Operate and maintain the platform
- Provide secure access and support
- Enable HR features (attendance, payroll, etc.)
- Ensure compliance and reliability
We do not use data for advertising, profiling, or resale.
6. Data Sharing
PitecHR does not sell or share data except:
- With authorized employer administrators
- When legally required
All data remains under employer control.
7. Data Retention
- Retained during active subscription or as required by law
- Deleted or returned after contract termination
8. Data Security
We implement:
- Encryption (in transit & at rest)
- Access control mechanisms
- Security monitoring
Employers remain responsible for internal data access control.
9. International Data Transfers
We comply with GDPR, SCCs, or equivalent frameworks when transferring data.
10. End-User Rights
Users must contact their employer to access, correct, or delete data. PitecHR acts only as a processor.
11. Children’s Privacy
PitecHR is not intended for individuals under 18.
12. Changes to this Policy
We may update this policy and notify clients of major changes.
